Call to Order
Mr. Porter called the meeting to order at 12:00 p.m.

Minutes
The draft minutes from the January 21, 2025, meeting were previously posted and circulated to Council. The minutes were approved as submitted.

Administrator’s Report
Mr. Casey reviewed the agenda items:

Old Business

CATF Update
Mr. Casey reviewed the CATF balance sheet reflecting account activity through January 31, 2025.

Spring Institute Hotel Room Update
Mr. Casey shared that the Norfolk Marriott is fully booked – our block had 280 rooms that filled up very quickly. At the Sheraton, we contracted for 170 rooms. The block was booked but the Sheraton overbooked by 40 rooms, so we had to scramble and get an addendum at Hilton The Main. Jill Harris, CASC Staff Attorney, had to work closely with parking as well because the garage was sold and is no longer owned by the Sheraton. They are honoring the $16.00 overnight guest parking fee.

Regarding the Hilton The Main Norfolk: We initially contracted for 50 rooms but with the two addendums the total is 102 rooms that are now full.

Director Casey reported that Ms. Harris did a good job of anticipating needs. The Sheraton overbooking created a challenge, but we are in a good position for the conference. At the moment, Ms. Harris reports that there are only 2 people from the OAG on her rooming waitlist.

CASC Standing Committee on Prosecutorial Ethics
Messrs. Porter and Casey reviewed the vacancies on this committee and the need for new members. Mr. Ledbetter made a motion to retain the current 3 members on committee, then take nominations of people that are interested, and appoint new members at the April 6 meeting. At that time, the committee shall select a chair. The motion was seconded and carried unanimously.

Persons interested in serving on that committee should contact Messrs. Porter and Casey in February or March.

There being no further business before Council, the meeting adjourned at 12:25 p.m. The next regularly scheduled meeting is Sunday, April 6, 2025, 1:00 p.m., at the CASC offices at Truist Place, 919 E. Main Street, Suite 1250, Richmond.
