Call to Order
Mr. Haislip called the meeting to order at 11:18 p.m.

Minutes
The draft minutes from the January 23, 2018, meeting were previously posted and circulated to Council.  The minutes were approved as submitted.

Ms. Chambers reviewed the agenda items:

Old Business

CATF Update
Ms. Chambers circulated and reviewed the CATF balance sheet reflecting account activity through January 31, 2018.

2018 Spring Institute Update
Ms. Chambers reported that thus far 567 people have registered to attend the 2018 Spring Institute.  She reviewed the status of the overflow hotels, reporting that both the Sheraton and the Courtyard Marriott still have rooms available.  Ms. Chambers asked everyone to pull up their CASC app and find the Spring Institute agenda on their devices.  She also reviewed other app features and resources.

CASC App Update
Ms. Chambers reviewed the app roll out process envisioned by Mr. Casey.  There also will be an app demonstration at Spring Institute.

Richmond Office & Meeting Space Rental Update
Ms. Chambers reported that the Department of General Services (DGS) has put CASC requirements out for bid.  The deadline for submitting bids is 5:00 p.m. on February 15, 2018.
New Business

W&M – Temporary Transfer Agreement (TTA)
Ms. Chambers reported that CASC has been advised by DGS that CASC does not have a TTA in place with William & Mary.  This is a document that memorializes agreements for one state agency or body to provide office space to another state agency or body.  It is described as “an agreement between friends.”  Ms. Chambers and Ms. DeBord are currently working with DGS and William & Mary to get this document completed.

 

CASC Finance Committee Meeting
Ms. Chambers reported that she has organized a CASC Finance Committee meeting to be held on May 18, 2018, at 12:00 noon.  It will be held immediately after the VACA Executive Committee Retreat that is scheduled from May 17 – May 18, 2018, at the Craddock-Terry Hotel in Lynchburg.

There being no further business before Council, the meeting adjourned at 11:35 a.m.  The next regularly scheduled meeting is April 15, 2018, 1:00 p.m., at the Norfolk Waterside Marriott Hotel.
